Email Setup
Setting Up MVI Solutions Email Accounts Using Microsoft Outlook
The following walks through an email setup for a fictional user (John B. Smith) at a fictional domain
or web site (acme.com), whose email address is jsmith@acme.com. To your email account work, simply follow
the steps below, replacing that username and web site with your own information where appropriate.
1) Open Microsoft Outlook
2) Click Tools, then Accounts.
3) In the little window, click Add, then Mail (or to edit an existing account, click on the account you want to edit, then click "Properties")
4) Click the "General" tab and fill in the "user information" as follows:
a) Name - fill in your "friendly name," which is associated with your email address. When you send messages, this name appears in the "From" box of the outgoing message. For example, if you enter John your mail will say "From: John"; if you enter "John B. Smith", your outgoing mail will say "From: John B. Smith"
b) Organization - Can be left blank or filled in
c) Email address - enter your username and domain (e.g. jsmith@acme.com)
d) Reply address - Enter the exact same information as in (c) above
e) The box "include this account when receiving mail or synchronizing" should be checked.
5) Click "Apply" to save the changes
6) Click the next tab "Servers" - fill in the information as follows:
a) You will see the sentence "My incoming mail server is a ____ server". The blank should be filled in with POP3
b) Incoming mail (POP3) - enter mail.yourdomain.com (e.g. mail.acme.com)
c) Outgoing mail (SMTP) - enter the same information as in part (b)
d) Account name - enter your username and domain (e.g. jsmith@acme.com)
e) Password - Here you have a choice. Option 1 is to enter your password (from MVI Solutions) in this box and check the box below that reads "remember password". Option 2 is to leave this blank and leave the box unchecked. If you go with Option 2, you'll have to type your password every time you send or receive email. If you go with Option 1, you won't have to. Option 1 is less time-consuming but also less secure, because anyone with access to your computer can use your email account without even knowing your email password.
f) Leave the bottom two check boxes UNCHECKED.
7) Click Apply to save the changes, then OK to finish the setup.
When you first attempt to use your new account, you may receive error messages from Outlook when you try to
send or receive email. This is not unusual and is related to email security, not to any bugs in Outlook
or in the MVI Solutions email system. If these error messages do occur, please contact MVI Solutions Customer Service
